LOGISTICS ASSISTANT required by our Client, to be assigned on a Permanent basis, located in Houston, TX.
The Logistics Assistant will be responsible for performing administrative duties that require a broad knowledge of departmental policies and procedures. The Logistics Administrative Assistant will assist the Logistics Manager and Logistics team with activities related to report keeping, shipment updates, any other logistics related clerical and administrative duties.
Performs clerical and administrative duties including typing, proofreading and editing documents, correspondence and reports for assigned department. Assists department staff in developing and preparing complex databases, reports and/or presentation material.
Assist in creation of shipping documents (Commercial Invoice, Packing Lists and Shipyard Material Receivers) along with administrative and logistical arrangements for the ongoing shipments and projects.
Enters data from various sources into spreadsheets, verifies input and calculations. Regularly develops original spreadsheets, databases and reports. Suggests improvements to increase efficiency and improve communication of departmental and functional information.
Assist in maintenance of proper electronic filing system for administrative documentation and ensures quick retrieval of requested documents.
Maintains rapport with customers, managers, and employees by effective communication setting priorities being able to identify potential problems and resolving problem situations.
Provides accurate information by answering questions and requests without disclosing anything confidential or sensitive in nature. Independently resolves most inquiries. Frequently handles confidential or sensitive information or issues.
Maintains continuity of work operations by documenting and communicating needed actions to management discovering irregularities determining continuing needs.
EXPERIENCE / QUALIFICATIONS
High School degree or equivalent plus additional specialized courses or Associates Degree in related field.
A minimum of three years of experience in Logistics is required Three plus years of Customer Service background is preferred
Exceptional communication skills, both oral and written with attention to detail.
Advanced PC skills including proficiency in Microsoft Office Package (Word, Excel, PowerPoint) is a must.
Must also have knowledge of excel based analytical tools.
Strong interpersonal skills for inter-departmental and external company interaction.
Must have the ability to handle many diverse tasks simultaneously and be able to work effectively with interruptions.
Demonstrated ability to handle confidential or sensitive information or issues
