Purchasing Assistant

PURCHASING ASSISTANT required by our Client, to be assigned on a Permanent basis.  
 
POSITION SCOPE  
 
The Purchasing Assistant creates and maintains the Materials Plan for all projects with input from the Project Teams. Works with the Buyers and Project Managers to ensure that all materials plans are current and provided to the Site Project Managers overseas. Supports Project Buyers, Traffic and Logistics and Purchasing and Document Control as needed.  
 
PRINCIPAL RESPONSIBILITIES:
 
Creates and maintains the Materials Plan for all projects, including Spares and Aftermarket jobs
Updates the Purchase Requisition (PR) and maintains the PR log
Updates Purchase Order status
Prints the Materials Plan for meetings
Updates material status after material plan meetings
Sends weekly reports to site project managers and to shipyard
Keeps files and records of materials, prices, inventories, and deliveries
Assists with the expediting of Supplier Documentation, capturing transmittal and due dates, and printing reports related to Supplier Documentation
Assists Project Buyers with expediting and other purchasing-related activities. May purchase small, low value items for projects and/or general office functions
Fulfills requests for uniforms, purchases uniforms at previously negotiated prices, and distributes uniforms. Controls the Clients inventory of satellite phones
Types and performs other clerical duties related to the business of purchasing
Performs special projects required to support Project Teams and Operations department
 
QUALIFICATIONS / EXPERIENCE
 
High school diploma or GED. Additional specialized courses preferred
Three to five years of experience in procurement / material or related environment using advanced skills in area of specialization
Knowledge of general office practices and procedures and an understanding of the organization related to the work
Some knowledge of procurement / materials terminology
Demonstrates good oral and written communication skills with good vocabulary and grammar for the communication (in English) of materials, procurement and documentation information
Proficiency in Windows, spreadsheets, word processing and general database experience
