SENIOR DOCUMENT CONTROLLER required by our Client, to be assigned on a Contract basis, located in Houston, TX.
POSITION SCOPE
Projects range from preliminary design studies to major engineering, fabrication, and procurement projects that include installation and commission. Projects supplied by our Client include marine terminals for product import / export, turrets, tower yoke and spread moorings for tanker based floating production, storage and offloading (FPSO / FSO) systems installed in water depths ranging from 30 feet to 5,000 ft.
The Document Controller receives, processes, monitors and expedites internal and external distribution of engineering and supplier documentation. Validates document quality before routing and transmitting. Rejects incoming documents from suppliers based on quality and requirement criteria. Collaborates with project teams to ensure project document control requirements are met. Functions as integral member of the project team alerting Project manager to document issues which may impact project schedule.
PRINCIPLE RESPONSIBILITIES
Participates in Project initiation meetings, confers with PM and PEM's to assure deliverable and supplier documents meet project requirements. Applies knowledge of engineering, construction, and manufacturing processes. Documents information and project specific process using standard template(s) and maintains processes within Bluebeam Studio.
Accountable for Project Document Quality for completeness, format, and compliance with contract and project requirements.
Submits project documentation to Project teams for approval, and transmits approved documents to client, certifying authority and suppliers.
Electronically route documents to appropriate staff and facilitates movement of routes when they approach due dates to meet client requirements.
Tracks routes and follows up with engineers to meet document turn around guidelines
Performs a visual quality check of each document and validates the correctness of:
Coversheet format
Document Title
Document number
Document type matches SDRL code
Title block
Drawing format
Drawing content check for PDF errors
Revision #'s
Collaborates with the Document Control supervisor; Suggests and develops Document Control Project instruction guides for each newly awarded project and uploads to the Client's intranet workspace.
Provides archival services such as: Organizing and categorizing legacy paper documents. Coordinates pick and retrieval of paper documents to/from a service provider such as Iron Mountain.
Provides reporting for the project team base on Project Manager requests and client needs.
Validates (when required) the supplier document registry and rejects based on non-compliance guidelines, communicating project team.
Completes additional Document control tasks as defined by the Document Control supervisor or ETS manager
Meets all document control deliverable timelines as specified by the Project team and Document Control supervisor
Assists with projects/tasks as assigned by Manager. Including testing new document control applications and participating in training.
EXPERIENCE / QUALIFICATIONS
Associates or Bachelor's degree (B.A. or B.S.)
Document Management Certified Professional (DMCP) or PMP Certification is desirable.
5 plus years' experience as a Document Controller, assessing quality of drawings and documents
Experience handling supplier and engineering documents, incoming and outgoing; Ensuring compliance with project requirements and adherence to ISO standards where required.
Experience in the EPC environment, familiar with engineering terms, and document types.
Ability to distinguish between a mechanical, structural, piping, P&ID and electrical and instrumentation technical drawing.
Proficiency with MS Office applications specifically MS Outlook, Word and Excel
Experience with industry standard document control applications such as MS SharePoint and Documentum CP
Proficiency with PDF automation tools such as Bluebeam and Adoce Acrobat Professional
Exposure to Digital Signature technology
Proficiency using remote collaboration tools such as WebEx, Skype or GoToMeeting
Familiarity with using AutoCAD, PDMS SolidWorks and Navisworks
Key behaviors:
Familiarity with technical data and specifications, engineering and supplier drawings, purchase orders, non-conformance controls and other project required documents.
Knowledge of digital signatures including enrolling, managing, renewing and revoking digital signatures.
Ability to develop spreadsheets and modify formats in order to independently complete assignments.
Effective oral and written communication skills with good vocabulary, good grammar and the ability to independently compose routine written communications.
Ability to resolve routine problems and questions independently.
Ability to extract raw data from databases to reformat for one off Project Management reports
