POSITION SCOPE
- Lead Document Controller to assist in establishing and maintaining all Client's IM/Document Control Processes, Procedures and Guidelines for all technical and non-technical documents.
PRINCIPLE RESPONSIBILITIES
- Ensure the effective application of the Client's Document Management processes, procedures, numbering standards, tools and systems
- Support the Document Control Supervisor to develop key project documentation
- Responsible for oversight and assurance that Contractor document control function conforms and delivers to Client standards
- Maintain integrity of the client Information Management System (IMS)
- Support the Document Control team in responding to Project queries and status requests
- Perform day to day Document Control tasks such as the processing and validation of incoming transmittals via the IMS, assist Project team to assign Document Numbers, etc.
- Ensure information is handed over in accordance to the client's Document Management requirements
- Support execution of information handover to Operations
- Develop and maintain interfaces with key project stakeholders within the Company as well as with the Contractors
- Work very closely with the Contractors' Document Control teams to ensure compliance with the Company's Document Management requirements
- Support and champion Client's Document Management standardization objectives through the provision of Document Control and IMS training and other knowledge sharing activities
- Research and maintain awareness of Client policies and business best practices for engineering documentation
- Represent the Document Management function at relevant project meetings or workshops when required
- Daily Contact with Client's Document Control Supervisor
- Deliver efficient, effective and secure management of documents that includes document capture, quality assessment, rejection as applicable, numbering, updating, review routing, distribution, etc.
- Oversight for the Project's Distribution Matrices that are maintained by the Document Controllers
- Provide weekly Document Control activity reports to Document Control Supervisor
- Other responsibilities as assigned
EXPERIENCE / QUALIFICATIONS
- 10 + years of Information/Document Management experience
- Relevant professional experience gained from at least two different job roles related to Engineering Document Management on Projects or business assets (ideally Operator based with full lifecycle experience)
- Extensive working experience with Electronic Document Management Systems (EDMS) to manage and report Project documentation
- Skills
- Sound knowledge of Information and Document Management processes
- Excellent communication, interpersonal and influencing skills, across the whole project irrespective of seniority, organisational or contractual boundaries
- A participative leader that offers opinion and direction when appropriate or required
- Strong analytical, problem solving and organizational skills
- Self-starter with ability to work strategically under little direction
- Team leadership experience and desire to motivate and guide the Project team and Document Control team
- Able to prioritize and execute tasks in a high-pressure environment

- Experience and IT skills working with the interfacing of electronic systems and applications such as MS Office
