ONSHORE SENIOR DOCUMENT CONTROLLER / HANDOVER COORDINATOR required by our Client in the Oil & Gas sector to be assigned on a contract basis – located in Maputo, Mozambique

DURATION       One year+, on-going

POSITION SCOPE
 

  • Travel – International travel that may be required by this role is up to 25% of work time.
  • Work Schedule – This is a Mozambique-based position with a 28/28 rotation schedule

PRINCIPAL RESPONSIBILITIES
 

  • Provides document control support for the Mozambique LNG Project team at the designated project location.
  • Facilitates development and maintenance of the document distribution matrices (DDM). Ensures correct and timely distribution of documents to the appropriate project team members.
  • Performs daily tasks assigned by the Document Management Group Lead at the designated location.
  • Collaborates and communicates with other MZ LNG Document Controllers including those located at other Project locations.
  • Acts as a coach and lead for other Junior Document Controllers in the team.
  • Ensures that the Project team members are submitting their deliverables to the Document Management team for assignment of document number, distribution, tracking, etc.
  • Provides trainings to the Project team members in Document Management Processes, Procedures, and tools.
  • Utilizes OpenText (Livelink) as the Electronic Document Management System (EDMS) to upload documents, populate required metadata and distribution of documents per approved DDM’s.
  • Promotes use of OpenText (Livelink) as the project electronic document management system (EDMS).  Ensures users have correct access and permission level. Provides basic OpenText (Livelink) issue resolution.
  • Delivers efficient, effective, and secure management of controlled and uncontrolled project documents that includes document capture, handling, numbering, updating and distribution of internally generated documents per MZ LNG Document Control Processes, Procedures and Standards. 
  • Performs functional quality review of incoming deliverables (correctness of document title, revision, dates, document numbers, etc.)
  • Facilitates development and sustainment of EPC’s and suppliers, Master Document Registers (MDRs). 
  • Generates document control progress reports and issues status, late, minutes of meetings, system and other reports.
  • Attends project team and EPCs, vendors and suppliers’ meetings as required to ensure information and document management issues are addressed timely and effectively.
  • Plans and coordinates as-building of the key project deliverables.
  • Plans and coordinates execution of the deliverable’s handover from the Contractor to the Project team and ultimately to the Operations team.

EXPERIENCE / QUALIFICATIONS

Professional Qualifications

  • 10+ years oil and gas industry working experience in areas of project information and document management, including working experience with relevant IT systems and tools
  • Expert level proficiency in coordination of technical deliverables as-building in Oil and Gas industry
  • Expert level proficiency in Project Information handover field within Oil and Gas Industry
  • Skills and experience in supervision, coordination and training of Information Management /DFO and Document Control personnel
  • Understanding of information and documentation cycles, needs and uses by the operating oil and gas facilities
  • Experience in technical support of a Production, Refining or Chemicals operations organization is desirable
  • Solid skills in written communications including proven ability to create procedures, guides and training presentations and instruction manuals

 
Education

  • Bachelor’s degree in Business Management, Information Management Systems, Engineering or related field is required.

 
Certification and Licenses

  • Professional certification in document and/or records management is a plus.

 
Language

  • Fluent oral and written knowledge of English. Basic Portuguese is a plus.

Other Qualifications

  • Ability to pass Company physical, drug screen and background security check.
  • Ability to work at a remote site location in Mozambique on a rotational schedule.
  • Ability to make business trips to the international project locations on as needed basis
  • Previous experience working with an international project team in a multicultural environment.
  • Strong influencing, consulting, mentoring, analytical, and computing skills.
  • Successful collaborator.
